Shipping Policy

How we pack and ship drone parts and drone soccer systems from Chengdu, China: methods, costs, Incoterms, lithium batteries, customs and claims.

Last updated 27 September 2026

1. Scope of this Policy

This Shipping Policy explains how Sichuan Yuanxin Supply Chain Technology Co., Ltd. ("Drone Parts Factory", "we", "us") prepares, packs and ships orders placed through dronepartsfactory.com, by email or through our sales team. It covers samples, stock orders, OEM/ODM production orders and spare parts, including shipments that contain lithium batteries.

This Policy forms part of our Terms of Service. If this Policy and your accepted quotation or proforma invoice ("PI") differ, the quotation or PI applies to that order. Anything agreed in a signed supply or distribution agreement takes precedence over both.

All goods ship from our facility in Shuangliu District, Chengdu, Sichuan, China, unless the PI names another shipping point.

2. Summary

  • Default delivery term: EXW Chengdu, unless the PI states another Incoterm (Incoterms 2020).
  • Shipping methods: international express courier, air freight, sea freight and, for some destinations, rail or truck freight.
  • Batteries: lithium batteries are dangerous goods and ship only by services and forwarders that accept them, with full documentation.
  • Duties and taxes: paid by the buyer, unless the PI states DDP.
  • Inspection: check goods on arrival and report visible damage or shortage within 7 days.
  • Tracking: we send the tracking or bill number as soon as goods are handed to the carrier.

3. Order processing and dispatch

When processing starts. We begin preparing an order once the PI is confirmed and the payment or deposit shown on it has cleared. For branded or customised products, processing also depends on final artwork, labels and sample approval.

Stock orders and samples. Catalog items held in stock are picked, tested where applicable and packed after payment. The expected dispatch date is stated on the PI or confirmed by your sales contact.

Production orders. OEM/ODM and made-to-order products follow the production lead time in the quotation. Lead times are estimates that begin when payment, artwork and approvals are all complete. We will tell you promptly if a dispatch date is expected to move.

Pre-shipment check. Before packing we check quantities, SKUs, configuration (for example radio band, connector, KV rating or colour), labels and carton marks against the order. On request we send photos of packed goods and carton labels before handover to the carrier. Third-party pre-shipment inspection can be arranged at the buyer's cost by appointment.

Changes after packing. If you need to add items, change quantities or change the shipping method after goods are packed, please tell us as soon as possible. We will do our best to accommodate the change, but it may move the dispatch date and add repacking or documentation costs, which we will confirm before proceeding.

Holidays. Our facility and Chinese carriers operate reduced schedules during public holidays, especially Chinese New Year (usually late January or February) and the National Day holiday (1–7 October). Orders placed near these periods may need extra time; please plan ahead.

4. Shipping methods

We recommend a method based on weight, volume, urgency, destination and whether the shipment contains batteries. The final method and cost are confirmed in the quotation or PI.

MethodBest forIndicative transit time after dispatch
International express courierSamples, small orders, urgent parts, up to roughly 100 kgAbout 3–7 working days to most destinations
Air freight (airport to airport or door to door)Medium and large carton orders that need speedAbout 5–10 days, plus customs clearance
Sea freight (LCL or FCL)Large or heavy orders, palletised goodsAbout 20–45 days port to port, depending on route
Rail or truck freightSelected destinations in Europe and Central AsiaAbout 18–30 days, depending on route

Transit times are typical ranges provided by carriers and are not guaranteed. They do not include customs inspections, holidays, weather, remote-area delivery or other events outside our control.

Choosing a method. As a guide, samples and orders under about 20 kg usually travel fastest and most economically by express courier. Orders of several cartons, or anything over about 100 kg, are usually cheaper by air freight. Full pallets and repeat stock orders for distributors are best sent by sea, rail or truck when the delivery date allows. Orders that include lithium batteries may be limited to the methods that accept them for your destination, so the fastest option is not always available. Your sales contact will compare options and costs for you before the PI is issued.

Your own forwarder. You may nominate your own courier account or freight forwarder. In that case we hand goods to your forwarder at our facility (EXW) or at the agreed point, and the forwarder's terms, costs and liability apply. Please make sure your forwarder can accept lithium batteries if your order includes them.

5. Shipping costs and chargeable weight

How costs are quoted. Shipping is quoted separately from product prices unless the PI states an Incoterm that includes freight, such as CIF, DAP or DDP. The quote depends on the method, destination, chargeable weight, battery content and any extra services.

Chargeable weight. Carriers charge the greater of actual weight and volumetric weight. For most express couriers, volumetric weight in kilograms is length × width × height in centimetres divided by 5000. For air freight the divisor is usually 6000. Light but bulky items, such as drone soccer balls, backpacks and frames, are often charged by volume.

Surcharges. Carriers may add fuel surcharges, remote-area charges, dangerous-goods fees, peak-season charges and address-correction fees. We pass these through at cost when they apply.

Validity. Freight rates change often. Shipping quotations are valid for the period stated on them, and we may need to update them if dispatch is delayed or the order changes.

6. Incoterms, risk and title

Delivery follows the Incoterm (Incoterms 2020) written on the PI. If no Incoterm is stated, delivery is EXW our Chengdu facility.

IncotermWe arrange and payYou arrange and payRisk passes to you

Title to the goods passes to you when we receive full payment for the order, as set out in our Terms of Service. DDP is offered only for selected destinations and shipment types and is quoted case by case.

7. Packaging

We pack every order for international transport and repeated handling.

  • Electronics such as receivers, TX modules, flight controllers, ESCs and DVRs are packed in anti-static bags or trays, then in cartons with protective filling.
  • Motors, frames and propulsion kits are packed so that shafts, arms and carbon edges cannot damage other items.
  • Drone soccer systems ship in their retail boxes or backpacks, inside outer cartons. Balls are protected against crushing, and batteries are packed separately where the rules require it.
  • Cartons carry the order reference, carton number, gross and net weight and any shipping marks you request. Large orders can be palletised and stretch-wrapped.
  • OEM packaging. Branded retail boxes, labels and barcodes are applied as approved in your artwork. Your carton marking instructions must reach us before packing starts.

Please keep the original packaging for warranty returns where possible. Goods returned without suitable packaging may be damaged in transit, and that damage is not covered by the warranty.

8. Lithium batteries and dangerous goods

Lithium batteries, including the LiPo packs supplied with our drone soccer systems and as spare parts, are classified as dangerous goods for transport. We ship them in line with the IATA Dangerous Goods Regulations for air transport and the IMDG Code for sea transport.

How batteries are shippedUN numberAir packing instruction
Batteries on their ownUN3480PI 965
Batteries packed with equipment in the same boxUN3481PI 966
Batteries installed in equipmentUN3481PI 967

What this means for your order:

  • Each battery type is supported by a UN38.3 test summary and a safety data sheet (SDS/MSDS), which we provide with the shipment.
  • Batteries are packed in dangerous-goods packaging with the required hazard labels and markings.
  • For batteries shipped on their own by air, the state of charge must not exceed 30%. Batteries arrive partly charged and must be charged before use.
  • Not every courier service, airline or destination accepts lithium batteries. Some routes allow them only by sea, rail or truck. We may need to change the shipping method, ship batteries separately from other goods, or decline battery shipments to a particular destination.
  • Dangerous-goods handling fees and restrictions increase shipping costs and can extend transit times.
  • If you use your own forwarder, you must confirm that it accepts lithium batteries and provide its instructions before packing.

Please tell us when you order whether batteries are included and whether you need them shipped with or separately from the rest of the order.

9. Customs, duties and import compliance

Importer of record. Unless the PI states DDP, you are the importer of record. You are responsible for import clearance, duties, value-added tax or sales tax, customs brokerage fees and any import permits or registrations.

Shipping documents. We provide a commercial invoice and packing list with every shipment and, as applicable, the air waybill or bill of lading, battery documents (UN38.3 summary, SDS, dangerous-goods declaration) and product descriptions for customs. A certificate of origin can be arranged on request, usually at extra cost.

Accurate declarations. We declare goods with accurate descriptions, quantities and values. We cannot under-declare values, mark goods as gifts or samples when they are not, or misdescribe products, because this breaks customs law and can lead to fines, seizure or delays.

HS codes. We can suggest HS codes for our products, but classification is the importer's decision and your customs broker should confirm it for your country.

Product compliance. Radio equipment, batteries and some drone products may need certification, registration or labelling before import or sale in your market. Please check these requirements before ordering. See our Compliance Center.

Refused or unclaimed shipments. If a shipment is refused, not collected, or cannot be cleared because of missing permits or unpaid duties, the buyer pays the resulting storage, return, re-delivery or disposal costs. Products that are returned this way are refunded only as agreed with us in writing, after these costs are deducted.

10. Export control and restricted destinations

All shipments are screened against the export-control and sanctions laws that apply to us. We supply products only for lawful civilian use.

We may ask for an end-user or end-use statement, delay a shipment while a licence or review is completed, or decline to ship where supply would breach applicable law or our End-Use & End-User Policy. We do not ship to sanctioned or restricted parties or embargoed destinations. See Restricted Destinations.

Please make sure the consignee, delivery address and end user on your order are correct and complete. Changing them after dispatch may not be possible.

11. Tracking, delivery and address changes

Tracking. When goods are handed to the carrier, we email the tracking number or bill of lading number and copies of the shipping documents. You can follow the shipment on the carrier's website.

Delivery address. Please give a full delivery address, a contact name and a phone number that the carrier can call. Missing or incorrect details delay delivery and can cause extra charges.

Address changes. We can change the address before dispatch at no cost. After dispatch, changes depend on the carrier, and any correction or re-routing fees are paid by the buyer.

Failed delivery attempts. If the carrier cannot deliver after its standard number of attempts, the shipment is usually held at a local depot for a limited time before being returned. Please arrange collection or re-delivery promptly. Storage, re-delivery and return charges caused by failed delivery are paid by the buyer.

Split shipments. Large or mixed orders may ship in several parts, for example when batteries must travel separately or when some items finish production earlier. We tell you in advance, and each part ships with its own documents.

12. Inspection on arrival and shipping claims

Check on arrival. Please inspect cartons when they are delivered. If a carton is visibly damaged, crushed or wet, note this on the carrier's delivery receipt before signing, and take photos.

Report within 7 days. Report visible damage or shortages to the carrier and to us within 7 days of delivery. Include the order number, photos of the cartons, labels and damaged items, and the packing list. Goods not reported within 7 days are treated as delivered complete and in good visible condition. Defects found later in use are handled under our Warranty Policy.

Who handles the claim.

  • If we arranged transport (for example under CIF, DAP or DDP, or through our courier account), we file the claim with the carrier or insurer and replace, repair or credit the affected items once the claim is confirmed.
  • If you arranged transport (for example EXW or FOB with your forwarder), please file the claim with your forwarder or insurer. We will provide packing details and documents to support your claim.

Lost shipments. If tracking stops or a shipment appears lost, contact us. We open an investigation with the carrier. Carrier investigations can take several weeks.

Insurance. Cargo insurance is included under CIF terms. For other terms we can arrange cargo insurance on request, or you can insure through your own forwarder. We recommend insurance for high-value orders.

13. Samples and warranty shipments

Samples normally ship by international express courier. The buyer pays the sample price and shipping cost, as described in our Sample Order Policy.

Warranty and RMA shipments. Do not return goods without an RMA number. For confirmed manufacturing defects we pay for shipping the repaired or replacement products to you; the buyer pays for shipping returns to us unless we agree otherwise. Returned lithium batteries must be shipped under dangerous-goods rules, so please contact us before sending any battery. Distributors can often settle small defect quantities through credit or replacement in the next order instead of individual parcels. See our Return & Refund Policy.

14. Delays and events outside our control

We work to meet the dispatch dates we confirm, but transport can be delayed by customs inspections, carrier capacity, weather, port congestion, holidays, public-health measures, changes in regulations and other events outside our control. We are not liable for such delays, as described in our Terms of Service, but we will keep you informed and help find alternatives, such as a different route or method, where possible.

15. Changes to this Policy

We may update this Shipping Policy when carriers, regulations or our services change. The new version will be posted on this page with a new "last updated" date. The version in force when we accept an order applies to that order.
